What is receipt management?

Receipt management is the process of capturing, storing, and processing business receipts so they are available to support your accounts and tax returns. With digital tools, receipts are photographed, the data is extracted, and everything is filed and posted to your accounting system automatically. 

We use Dext and Hubdoc as our primary receipt capture tools. Both allow your team to photograph receipts on their phone, extract the key data automatically, and send it directly into your Xero, QuickBooks, or Sage account. ABM Chartered Accountants configures and manages the setup. 

HMRC requires businesses to keep records for at least six years. For VAT-registered businesses, VAT records must also be retained for six years. Digital copies of receipts are accepted by HMRC provided they are a clear and readable copy of the original document. 

Yes. HMRC accepts digital copies of receipts as valid records provided they are legible and accurate. Once a receipt is captured digitally using an approved tool, you do not need to keep the paper version. ABM Chartered Accountants ensures your digital records meet HMRC requirements. 

If a receipt does not include the supplier’s VAT number, the VAT amount, and the date, you may not be able to reclaim the input VAT on that purchase. We check every receipt for valid VAT details and flag any that are missing key information.
